A quotation sheet is not just a price list. It is a project planning tool that lets procurement teams understand what they are buying, what it costs, and when it arrives — in enough detail to build a budget, a schedule, and a change order baseline. Custom wholesale quotation sheets for polyurethane faux beam orders are prepared with this tool function in mind.
The Anatomy of a Complete Quotation Sheet
A well-structured quotation sheet contains the following sections.
Header Information
Our company name, contact details, and quotation reference number. Client name, project name, and project reference. Date of issue and validity period. Incoterms and payment terms. Destination (port or city).
Line Item Table
The core of the quotation. Each line item represents one unique product configuration. The columns are item number, description (profile name, cross-section, length, texture, finish), unit (linear meter or piece), quantity, unit price in the agreed currency, and total price.
Each unique combination of profile, length, texture, and finish is a separate line item. A project with three profiles in two finishes has at least six line items.

Subtotals and Additional Costs
Below the line items, the quotation shows subtotal per profile group, total product cost, tooling cost (if new molds are required), sample cost (if applicable), shipping and logistics estimate, total landed cost (if DDP or CIF terms), and applicable taxes or duties.
Lead Time Summary
Mold development (if applicable), sample production and approval, mass production, packing and documentation, shipping from port of loading to destination, and total estimated time from order confirmation to arrival.
Terms and Conditions
Validity period of the quotation, payment terms (deposit percentage, balance payment timing), force majeure clause reference, quality dispute resolution process, and warranty statement.

How Quotation Sheets Support Project Budgeting
Procurement teams use quotation sheets to build and manage project budgets. The line-item format lets the buyer see exactly how much each profile costs per unit and in total. The lead time breakdown lets the buyer plan cash flow. For developers running multiple projects, a standardized quotation format lets them compare beam costs across projects, locations, and time periods. The original quotation sheet provides the baseline for calculating change order cost.
Pricing Tiers and Volume Discounts
Wholesale quotation sheets show pricing tiers so buyers understand how volume affects unit cost.
Tier 1 — Sample. 3-10 pieces. Highest unit price.
Tier 2 — Small run. 50-200 linear meters. Moderate unit price.
Tier 3 — Container. One full 20-foot or 40-foot container. Significantly lower unit price.
Tier 4 — Multi-container. Multiple containers or an annual commitment. Lowest unit price.
The quotation sheet shows which tier the current order falls into and what volume would be required to reach the next tier.
Reading a Quotation Sheet: A Worked Example
For a 42-room boutique hotel project with main lobby, restaurant, and 20 guest room corridors, using 3 profiles (U-shape 200x250, U-shape 150x200, rectangular 100x100) and 2 finishes (warm oak stain, dark walnut stain), the quotation might contain 6 line items, with the largest single line item by quantity driving the bulk of the project cost. The buyer can see that tooling cost is a significant one-time charge that could be amortized across future projects using the same profiles.
After the Quotation
Once the quotation is accepted, we issue a proforma invoice confirming the order. A deposit payment triggers production scheduling. We provide weekly production updates. Pre-ship inspection is offered for orders over $50,000. Final balance payment is due against shipping documents. Tracking information is provided once shipment is confirmed.
Custom wholesale quotation sheets give procurement teams the information they need to manage the beam procurement process professionally. The detail is in the line items.
